You can use Procezo to organise to-do lists, project management, product launch, bug tracking, sales pipeline, meetings, CRM, notes, bookmarks etc.

How Procezo's Structured

Organizations, Projects and Tasks are Procezo’s building blocks. Use them to organize work, keep track of action items, and collaborate with your team.

Let’s understand these terms

Organization

An organization is the top-level unit of Procezo. It connects all the employees at your company in a single space based on your company’s shared email domain.

It encompasses all the projects you will be organizing and all the data related to these projects and is the first thing you will need to create to get started.

Project

Projects allow you to organize all of the tasks related to a specific initiative, goal, or big piece of work into a list or board.

Projects are represented by boards. Whether you are launching a product or maintaining a catalogue, the project is the place to organize your tasks and collaborate with your colleagues.

Tasks

Tasks are the basic unit of action in Procezo. Generally, tasks are a representation of to-do’s that have a person who is accountable for the task for its completion and its due date. You can also divide your tasks into subtasks and assign them to the different team member You can make task fully customizable with a variety of attributes eg name, email, attachments, website link etc.

A task could be used to represent:

> An idea > A sales lead > A reference notes etc

Organise your work with Views

Views allow you to look at the information in your projects and in different formats. In Procezo, you can organise your work with the following views:

> Tabular List View > Timeline View > Kanban View > Project Insight View

You will be able to change the view at any point by clicking the view switcher located on the toolbar at the top-right corner of the board.

Tabular List View

In list view, you can see all the information inside your project organized as a simple list. The grid-like structure makes it easy to create, filter, and format tasks to actively collaborate with your team.

Following are its components: (the columns of the list):

- Task name - Assigned to - Deadline - Priority - Any extra form fields added to the project

Timeline / Gantt View

With the timeline view, you can create a project plan that shows how all of the pieces of your project fit together. You can view and manage all your events and deadlines in a customizable scheduled with the start and end dates.

Simply put, a Timeline or Gantt is a visual view of tasks scheduled over time. It can be used for planning projects of all sizes and they are a useful way of showing what work is scheduled to be done on a specific day.

Following are its components::

- Task name date wise - Calendar dates - Assigned to - Start & End Dates - Subtasks count

Kanban View

Kanban is a very flexible, visual and simple way to organize your projects and tasks and is one of the most popular projects management technique up to this day. Your information is represented in horizontal columns, which are incredibly practical and effective because they allow your whole team to visualize the workflow and work more productively.

Project Insights View

This view helps people get more insights on how many tasks are completed, not done or delayed. It enables you to make more informed and proactive decision and help you stay organised.

Following are its components:

- Overdue tasks count - In-completed tasks count - Completed tasks count - Tasks break-up of overdue, incomplete, complete by users - List of tasks that have a deadline as today

Organise your tasks with segregated Lists

This is where all your tasks exist. We have segregated tasks list in 3 different pages:

- My tasks list - Assigned by me list - Followed by me list

My Tasks list

This page shows the list of tasks assigned to you. You can see the below data: - Deadline of the task - Project/process that task is part of.

This list can be easily customised and used according to your need as follows:

- You can apply filters by project/status/assignee. - Sort the list by priority and deadline. - Smart search for any task. - One-click to mark the task as completed.

Assigned by me list

This page shows the list of tasks assigned by you. You can see the below data:

- Deadline of the task - Project/process that task is part of.

This list can be easily customised and used according to your need as follows

- You can apply filters by project/status/assignee. - Sort the list by priority and deadline. - Smart search for any task. - One-click to mark the task as completed.

Followed by me list

This page shows the list of tasks followed by you. You can see the below data:

- Deadline of the task - Project/process that task is part of.

This list can be easily customised and used according to your need as follows

- You can apply filters by project/status/assignee. - Sort the list by priority and deadline. - Smart search for any task. - One-click to mark the task as completed.

Automatic Imports

We can understand that creating a project from scratch can be a tedious task, especially when you are migrating from one project management application Our Automatic import feature will enable you to bring everything from your previous project management app into Procezo with just a few clicks.

Currently, we support two automatic supports

Public Forms

The Public Forms module allows creating and publishing custom intake/requests forms that can easily be distributed to the public or your team members. When a request form is submitted, a new task will be created in the project and all the data will be attached to this task.

You can use the public form feature to make it available via a shareable URL. There are limitless ways you can use public forms, for example:

1. Marketing - creative materials request 2. IT - technical support ticket, new hardware request 3. Development - bug report, new product feature 4. Offices - new hire, PTO request, supplies request etc

Customization

Custom fields

Procezo enables you to enrich the functionality of your tasks by creating and adding new custom fields. You will be able to add attributes such as check-boxes, numbers, text, labels, checklists and many more. The idea is simple - shape the items to suit your needs perfectly. Each type of custom field may be used as many times as you like and each Project is created to contain the fields you set.

Custom Report

Custom Reports help businesses stay one step ahead of their projects and competition. We enable to make custom reports of any project of your choice which can be used to monitor and measure performance and metrics in real-time and on the go. Once you master the basics, you can keep building on them. We have all different kinds of getting started resources so anyone can learn how they like.
