Projects

Projects allow you to organize all of the tasks related to a specific initiative, goal, or big piece of work into a list.

Each team is free to customise Procezo to best suit their project needs, but despite structural differences, there are certain key practices to keep in mind to help you and your teams manage projects successfully. Projects are larger, more complex items of work and Tasks are their smaller building blocks. They help teams plan towards goals, visualise progress and enable collaboration. An example of a project could be a product launch, a campaign or a creative request.

How to create a Project

There are 3 ways of creating a project on Procezo:

Let's understand the different components of features at length:

Multiple Views

Custom Form

Capture the right details every time for any project brief, requests, and more. Forms are directly connected to projects, so you can track submissions all in one place. Forms are used to enrich the functionality of your tasks by creating and adding new fields to the form.

📌 You can add form in the following way: - Select Form from the top left toolbar.

- Select predefined fields or create a custom fields. - Drag your field from the list and hit save.

Permission-based Board sharing

Role-based work has become one of the main methods for project work. This is especially useful to protect sensitive data from entry-level employees or if you use third-parties or contractors in your organisation. With Procezo, users can be given access to boards based on role, responsibility and competency with permissions and can edit, view or have administrator access.

📌 To provide access to a Board, click on the +Share button on the top right of the screen. A box will open where you can search for a name/email as well as a list of users. On the right hand side you can decide which type of access you want the new user to have.

Activity timeline

Procezo’s Activity timeline displays every user’s upcoming, current and past activities on tasks and projects. The timeline facilitates tracking the progress of ongoing projects, adjusting workloads and setting follow-up tasks if tasks are overdue as well as updates on completed tasks. 📌 To view recent activity on a project, go to the project board and click on the timer icon in the toolbar to view the feed. This will bring up the feed with updates.

Filters and Sorting

A great project management tool should be your team’s largest database. After all, the point is to have everything in one place. But, for large teams and complex projects, that data can become pretty enormous. To navigate the platform without difficulties, you will need tools precise enough to help you find a needle in a haystack. This is where filters and sorting come into play Filters are there to help you single out and view exactly the items you need at any given moment. And, in Procezo, we’ve made sure to keep them thoroughly versatile for ultimate flexibility. 📌 Filters and sorting options are located on the toolbar in the top-right corner of the board. You can perform the following operation: 1. Task Based Filters: You can view you data and perform searching, sorting with task based filters. Following types of task based filters can be applied: i) Incomplete Tasks : Once selected only incomplete tasks will be shown. ii) Complete Tasks: Show you a list of only completed tasks. iii) Overdue Tasks : Show you tasks which have missed the dedicated deadline. iv) All Task: Show you a complete list of tasks including completed, incomplete and overdue tasks.

2. Filters You can narrow down your list by applying filters based on the following: i) Assignee: Show you a list of tasks pertaining to the selected assignee. ii) Created By: Show you a list of tasks created by the selected users. iii) Due date: Show you a tasks list with the selected due date. iv) Created at: Select created date of the task to get the filtered result.

3. Sort Sort your data based on the following option: i) Deadline : Sort data of each of the columns base done the upcoming deadline. ii) Assignee : Sort data based on the assignee of the tasks. Suppose there are two assignees in Column 1, Assignee A and Assignee B. Once you select this option you will get first ordered work of Assignee A then of Assignee B. iii) Alphabetical : Sort your work alphabetically. iv) Priority: Sort your data based on the priority. Once applied you can see the tasks in the following order: High > Medium > Low.

Smart Search

As more projects are added to Procezo and your database grows, finding specific information related to projects can become muddled. Here we recommend using the Smart Search bar to navigate your tasks, quickly uncover relevant information and boost your productivity. 📌 To begin using the smart search bar, go to your project board and you will find the bar on the right of your toolbar.

Access Shortcuts

You can access the following shorcuts: - Set your project favourite: You can set you project favourite by clicling the star icon at the top left corner of the board. Once marked as favourite, your project will come beneath the Favourites category on the navigation panel.

- Copy Project Link: Copy and share the link of project for easy access. - Import from Asana and Trello: Get information into your project with few clicks. - Delete : Delete your entire data related to a project completely with a single click.

In Procezo, you can organize your Projects with the following views: 1. Kanban View : A kanban board is an agile project management tool designed to help visualize work, limit work-in-progress, and maximise efficiency (or flow). 2. List View : A list view presents the list of tasks in an excel-like format. This helps you see the list of tasks in one go and modify data into those tasks by modifying the columns in the table. 3. Gantt View : Gantt charts are used for planning projects of all sizes and they are a useful way of showing what work is scheduled to be done on a specific day. 4. Project Insights View : Procezo’s Insights give you a simple but effective analytics tool to keep on track of your businesses processes and optimise productivity from ideas to execution.
